How it works and what it costs

Free preview before purchase

Typical question: “Can I try it for free?”

You can create an account, build the wedding page and preview it as a guest for free. No card is needed at this stage. A draft accepts a few test photos; payment is required only when the event is activated for guests.

Number of guests

Typical question: “How many guests can join?”

Active plans do not charge separately per guest. The fee covers one event; plan limits mainly concern storage and available features.

The QR code before paying

Typical question: “I cannot see the QR code?”

The QR code and the guest link unlock after the plan is paid — before payment they are covered so nobody prints a code that does not work yet. Until then you have the preview: you can build the whole page and see it exactly as guests will. After payment the code appears immediately, with no waiting.

One-time payment with no subscription

Typical question: “Is this a subscription?”

A plan is paid once for one event. It is not a monthly subscription or a per-guest fee. Features and storage depend on the selected plan. A monthly charge appears only if you choose to keep the gallery online after the storage period included in your plan — that is a separate, optional service, never charged up front.

Plan activation after payment

Typical question: “When is the plan activated?”

After a confirmed payment, the plan should activate automatically for the selected event. If it still appears as a draft after a few minutes, refresh the dashboard and check the correct event. Then ask the support team to verify it — without sending card details.

Buying the plan long before the wedding

Typical question: “Can I buy the plan long before the wedding?”

Yes — you can buy and set up the gallery at any point before the wedding. The 12 months of access are counted from the wedding date set on the event, not from the purchase date, so buying early does not shorten your time to collect and download memories.

Done-for-you place cards and QR table cards

Typical question: “Can you design place cards for us?”

Yes — in Poland our designer creates place cards with your guests' names and QR table cards in your wedding style. The price is a project fee plus a rate per place card — you see the current amount and the calculation in your dashboard before paying. You pay a 50% deposit online to start and the rest after approving the design. Printing is included — we send you the finished place cards and table cards, and you pay for shipping separately (our designer tells you the cost by email). Order it in your dashboard: Gallery & QR codes → Design and print.

Invoice or payment document

Typical question: “I need an invoice?”

The seller is VAT-exempt under Art. 113(1) of the Polish VAT Act, so the price is final and no VAT is added. A document for a specific payment is issued on request once the support team verifies the order. Provide the account email and approximate payment date, but never card details.

Extending the gallery after the included period

Typical question: “Can I extend my gallery?”

Yes. A plan includes storage for a set period counted from the event date, and after that the gallery can stay online for a separate monthly hosting fee, independent of the one-off plan price. The guest link and QR code keep working. Billing is monthly and can be canceled at any time; after canceling, the gallery stays up until the end of the paid month. The amount depends on the gallery size and is shown together with the extend button in the event panel, in the card called Keep your gallery for longer, which appears ahead of the deletion date. If the date is still far off and the card is not visible yet, just write to us and we will check the date and prepare the extension.

Gallery only, without guest games

Typical question: “I only want photos and videos not games?”

Absolutely. Basic is exactly that: a gallery for guest photos and videos, with no missions, table ranking or other games — there is nothing to switch off, because those features simply are not in it. If someone already has a higher package, individual sections of the guest page can be hidden in the event settings, so guests only see uploading and the gallery itself.

Birthdays, Confirmation and graduation parties

Typical question: “Can I make a kids birthday invitation?”

Yes. Birthdays at any age (kids and milestone 30/40/50), a Confirmation and a graduation party each have their own page and invitation texts — for a child the invitation is written on behalf of the parents and the panel offers no DJ, memes or alcoholic toast. They work like every other occasion: an invitation under its own link, RSVPs, a QR code and one shared photo gallery from guests. Birthdays and graduation parties use the 18th birthday package, a Confirmation uses the Communion package (current prices come from the live price list below).

Try it as a guest before buying

Typical question: “How do I see the invitation as a guest before buying?”

In the occasion invitation studio, before you buy, there's a Try it as a guest button. You walk the guest path: open your invitation, send a trial RSVP and add a photo. It's only a rehearsal: nothing is saved and nothing leaves your browser. Closing it at any step takes you back to the studio, and at the end you can activate the package straight away.

Christening package

Typical question: “How much is the christening package?”

The christening package is a one-off payment with no subscription; the current price comes from the live price list. It includes an interactive invitation with RSVP, a QR code for guests, one shared gallery of photos and videos in original quality, written, voice and video wishes, a time capsule and guest missions. Files stay available for a year and can be downloaded as one archive. The DJ panel and the meme roulette are not part of it.

First Communion package

Typical question: “First communion invitations?”

Yes. We have a separate First Holy Communion package. A parent creates the account; guests install nothing and need no account. It is a one-off payment with no subscription; the current price comes from the live price list. It includes an interactive invitation under its own link with the Mass time, the church and reception addresses and RSVP, a QR code for guests, one shared gallery of photos and videos in original quality, written, voice and video wishes, a time capsule and photo missions for guests, kids included. There are a dozen invitation themes — from the Watercolor chapel in four colors to Dove and light, Stained glass, Peonies and pearls, and themes for boys such as Nautical and Chalice and pitch. Files stay available for a year from the day of the celebration and can be downloaded as one archive. The DJ panel and the meme roulette are not part of it.

18th birthday package

Typical question: “How much is the 18th birthday package?”

The 18th birthday package is a one-off payment with no subscription; the current price comes from the live price list. It includes an interactive invitation with RSVP, a QR code for guests, one shared gallery, wishes, a time capsule, guest missions and duels, the meme roulette and the DJ panel with song requests from guests. Files stay available for a year and can be downloaded as one archive.

What an interactive invitation is

Typical question: “What is an interactive invitation?”

It is an invitation that opens like a scene rather than a file. The guest gets one link and sees the invitation closed - depending on the theme that is a curtain with a wax seal, an envelope or a card tied with a ribbon. They touch it, the closure gives way and a scrolling story begins: a welcome, a countdown to the day, the ceremony and reception with a button that opens maps, and finally the RSVP. It all happens in the phone browser - nothing to install and no guest account.

Invitation themes and premium themes

Typical question: “What invitation themes are there?”

You pick the theme in the creator and can change it freely - the message, date and guest list stay. Classic themes are watercolor scenes with a curtain and a wax seal. Premium themes add their own opening and a full animated story: "Bunny and ribbon" for a christening opens with a card tied with a ribbon that the guest unties with a finger, and the wedding themes "Palace Premium" (photographic), "Pastel Palace" (hand-drawn) and "Origami" (a paper theatre: the card opens, a paper church rises, then the ballroom) are one continuous scroll-driven film: the guest scrolls and the camera walks down the alley to the palace, through the doors, through the chandelier hall, into the light, through the garden gate and into the ballroom with the tables set - the names, welcome, venues and countdown float over the frame, and the RSVP slides onto the final ballroom frame. In "Bunny and ribbon" the RSVP is its own scene: an envelope opens, a card slides out with the form, and after sending it returns and gets a stamp. The top christening theme is "The road to the christening" (ultra premium, included): one hand-illustrated watercolor story scrolled from the garden to the envelope - a bunny leads the guest in soft hops to a chapel, the door opens onto a bright interior with the font, then the reception garden and a writing table with the RSVP envelope; the child's name with photo, the message, venues and countdown sit on light stationery cards, and after sending the envelope closes with a thank-you. The same theme works in Italian as Battesimo. For a First Communion there are a dozen themes — from the Watercolor chapel in four colors (Golden chalice, May lilies of the valley, Wheat and cornflowers, Powder peonies) to Dove and light, Stained glass and themes for boys; each has its own cover and illustrations that reveal themselves as guests scroll.

Bespoke invitation when no theme fits

Typical question: “Can you design a custom invitation theme?”

Yes. If none of the ready themes fits, we build the invitation from scratch: custom illustrations or film, your colors and composition, matched to the venue and the mood of the day. It costs from 299 PLN, up to 600 PLN for the most elaborate projects - the range depends on whether repainting an existing scene is enough or a full set of new illustrations is needed. We always start with a conversation about the idea and quote it before anything is made. The finished invitation works like every other one: one link for guests, RSVP, directions and the countdown. Write to myweddingmemories.org@gmail.com for a quote. Prices apply to the Polish market.

Which package includes the interactive invitation

Typical question: “Which plan includes the interactive invitation?”

For christenings, First Communions and 18th birthdays the interactive invitation is the core of the package - it is included and needs no extra payment. For weddings it belongs to the Pro plan, together with the other interactive features. It is not a separate subscription or a per-guest fee: you pay once for the whole event. You can design and preview the invitation for free before activating - the guest link and QR code unlock after payment.

Guests: access, invitations and RSVP

Guest access without an account or app

Typical question: “Does a guest need an account?”

A guest does not create an account or install anything. They open the private page from the QR code or link, enter a name or nickname, and use the sections enabled by the couple.

Guest access through QR or a private link

Typical question: “How does a guest enter?”

The private event link is encoded in the QR code. Anyone the couple gives the link or QR to can open the page, so treat it like an invitation and do not publish it accidentally.

Downloading and printing the QR code

Typical question: “How do I download the QR code?”

Open the Gallery and QR codes module in the event panel. The QR code tab gives you the code on its own (for example for your own place cards or menu), and the Card designs and printing tab lets you prepare ready table cards (style, wording, table numbers, sizes from business card to A3) and download them as print files. Scan one test print with another phone before ordering the full batch.

Guests cannot change wedding settings

Typical question: “It says only the couple can change this option?”

The wedding page has a single owner — the couple — and only they change settings, content and section visibility. A guest can add media and use the shared features but does not edit the configuration; hence the permissions message. To fix the name beside your own photo, the simplest route is to delete the file within 15 minutes of uploading and send it again with the right name, or ask the couple to correct it.

Open RSVP without a preloaded guest list

Typical question: “How to enable open invitations?”

Applies to: christenings, First Communions, 18th birthdays

Christenings, First Communions and 18th birthdays support open RSVP. In the invitation editor's Guests and RSVP step, enable attendance confirmation and Anyone with the link can reply. A guest outside the list enters their first name, surname and number of people and is added to Guests and RSVP after replying. Preloading everybody or importing a CSV is not required. With the open option off, only listed guests can reply. Share the general invitation link, not a preview link or another family's personal link. Designing alone does not activate public sharing. If verified current-event settings are available, state whether this option is already enabled; do not tell the host to enable it again. Otherwise do not guess its state. These rules do not apply to weddings, where name matching requires the guest list.

Who has replied — occasion account

Typical question: “Where can I see who accepted?”

Applies to: christenings, First Communions, 18th birthdays

Guests' replies from the invitation collect in the side menu under "Guests and RSVP". For each person you can see whether they accepted or declined, plus the number of people and children and their answers to the form's questions. You can also add guests to the list yourself — they then reply using their first and last name. The full list works after the package is activated; before that you can try the form for free in the preview. On a day when someone replies, an evening e-mail summary arrives as well.

WhatsApp RSVP reminder

Typical question: “How do I remind a family to RSVP on whatsapp?”

On occasions with personal links: on the guest list (Guests and RSVP) or next to the invitation's personal links, tap Remind on WhatsApp next to a family. The No reply yet filter shows only those who haven't answered. WhatsApp opens with a short ready-made text about this celebration in the invitation's language and the family's personal link. We never send anything ourselves: you send the message. If the family has a number with a country code (e.g.

How to send the invitation to guests

Typical question: “How do I send the interactive invitation?”

The invitation has ONE link, shown on the last step of the creator. You can copy it, send it over WhatsApp or e-mail, and on a phone use the system share sheet, which also offers Messenger. Next to the link there is a high-resolution QR code to download - print it on a paper invitation and the guest opens the page with one scan, with no address to type. It is NOT the same code guests use to upload photos; that one lives in the Gallery and QR codes module.

The invitation for older guests and weak connections

Typical question: “Will older guests manage the invitation?”

The invitation opens in an ordinary phone browser - the guest installs nothing, creates no account, and only has to touch the closure and scroll down. If the phone has the system setting for reduced motion enabled, the invitation shows the final state of each scene instead of animating it - the message, date, location and form are exactly the same. Illustrations are light files and later scenes load only as you approach them, so the invitation opens on a weak connection too.

QR card print size (A5, A4, business card)

Typical question: “How do I print the QR card in a5?”

Cards have their own size setting. In the event panel open Gallery and QR codes → Card designs and printing. Under the preview there are two options: card orientation (portrait or landscape) and print file size: business card, A7, A6, A5 (default), A4 or A3. Each card downloads as a separate PNG file at 300 DPI in exactly the chosen size, so print at 100% scale (not fit to page) or take the file to a print shop. For the smallest sizes the panel warns you when the code gets too small for phones to read reliably. If you would rather have several cards on one A4 sheet to cut yourself, there is also a free generator on the website: myweddingmemories.org/generator-kart-qr (2, 4 or 6 cards per sheet). Print one test card and scan it with another phone before printing the whole set.

QR cards will not download / where the downloaded file is

Typical question: “The QR cards will not download?”

A single card downloads as a PNG file, and Download all cards gives you ONE ZIP file with the whole set (for example karty-qr-a5.zip); after the download the panel tells you where to find it. On a computer it is in Downloads, on an iPhone in the Files app → Downloads (or via the arrow icon in the Safari address bar), on Android in Downloads or the Files app. Open the ZIP by double-clicking on a computer or tapping it in the Files app. Each card name includes the table number and size, for example stol-3-a5.png. If nothing downloads: 1) Open the panel in a normal browser (Safari, Chrome), not in a window opened from Facebook, Instagram or Messenger; those do not save files and the panel shows a message about it. 2) Print cards are available once the package is active; before payment the panel shows a message about the unpaid service. 3) Many cards in a large size (A4, A3) take a moment and a lot of memory on a phone, so a computer is more reliable for the full set. If it still fails, tell us which device and browser you are using and the support team will help.

QR stickers and printed cards — do you ship them

Typical question: “Can I order QR code stickers?”

We do not sell physical stickers, signs or printed cards, including in larger quantities. Once the package is active you get a ready QR code and print cards as high resolution files that you can pass to any print shop or sticker company in the size and material you choose. For clear film, make sure there is a light, solid background right under the code (for example a white underprint), because phones read a code on transparent material over a dark or patterned surface much less reliably. Before ordering the whole batch, ask for one sample and scan it with a few phones.

Guest sees an inactive or closed event message

Typical question: “Guests see that the event is inactive?”

A guest can see one of two messages and each has a different cause. This event is inactive: the package has not been activated (paid) yet. Before activation only the couple can see the page, logged in, in preview mode; guests get access as soon as the package is paid. This event has expired. The gallery is closed.: the access period counted from the wedding date has ended. Check the event expiry date in the panel; if it is clearly wrong (for example earlier than the wedding or with an odd year), write to us and the support team will correct it right away. If the period really has ended, the gallery can be kept online with a monthly hosting fee.

Album from another wedding in the family

Typical question: “I already have my daughters wedding album how do I see my sons?”

Each wedding has its own separate page and QR code, so there is nothing to install or download. To see the album from the second wedding, ask that couple for the link or QR code to their page and open it in your phone browser; the page from the earlier wedding works independently as long as its gallery is active. If you are organizing the next wedding yourselves and want a gallery for it, it is set up as a separate event with its own package (on a separate account, with a different email address).

Uploading photos and videos

Uploading photos and videos

Typical question: “How do I upload a photo?”

The guest opens the QR page, selects the Share tab, enters a name or nickname, chooses photos or videos, and confirms. No app is required. Keep the tab open until every file shows that the upload has finished.

A file will not upload

Typical question: “The photo will not upload?”

Check in order: 1) the connection is stable, 2) the event is active and uploads are enabled, 3) the file fits the plan limit. Try one smaller file. If it still fails, provide the phone model, browser, approximate file size and error text — never the private link or the photo itself.

Uploading from iPhone and iCloud

Typical question: “It does not work on iphone?”

On iPhone, the selected photo may first need to download from iCloud. Open it in Photos and wait until the full-quality version is available, then try again in Safari. Keep the page open and the screen awake during upload.

Storage limit reached

Typical question: “Guests cannot upload photos it says there is no space?”

The storage-limit message means the gallery reached the capacity of its plan — further uploads are rejected, but nothing already uploaded is lost. Two options: the couple deletes unneeded files in the dashboard (space frees up immediately) or moves to a higher plan, paying only the difference. Check the live pricing for how much space each plan includes.

Limits for wish and capsule recordings

Typical question: “The wish recording is too long?”

A voice wish can run up to 90 seconds (max 15 MB) and a video wish up to 5 minutes (max 800 MB). A time-capsule video has its own 200 MB limit and accepts video files only. One signature leaves one wish and one capsule video — an already-saved message means something exists under that name, so just use a different signature. If a recording is too long, record a shorter one; trimming in the browser is not available.

The gallery, downloads and guest features

How My Wedding Memories works

Typical question: “How does it work?”

The couple creates a wedding page, downloads its QR code and places it on tables or signs. Guests scan it, enter a name or nickname, and upload photos or videos without installing an app or creating an account. Everything lands in one private gallery managed by the couple.

Original media quality

Typical question: “Are photos compressed?”

JPG, PNG and WebP photos and videos reach the gallery in the form supplied by the phone, with no extra compression on our side, and the couple downloads exactly that file. The exception is HEIC/HEIF photos (the default iPhone format): before upload they are converted on the guest's phone to a high-quality JPEG, and very large ones may be scaled down to about 16 megapixels in the process, so they can be shown in the gallery and used in the video. In that case the couple downloads the JPEG, not the HEIC file. If the conversion fails, the original HEIC file is uploaded.

Guest deleting an incorrect upload

Typical question: “How can a guest delete a photo?”

A guest can delete their own file for 15 minutes after uploading it. After that, the couple can remove it from their dashboard.

Large ZIP archives and download errors

Typical question: “The ZIP will not download?”

Downloading everything (Photos and videos → Downloads) prepares a single ZIP archive. The direct archive handles up to 9,000 files and 64 GB of source material — above that the dashboard says a large package has to be prepared and you should contact support. If instead of a download you see a message that the archive is not available in this environment, the download service is not configured yet — report it to support. Large archives are written as ZIP64, so they open correctly above 4 GB too.

Deleting photos added by others

Typical question: “I want to delete a photo someone else added?”

A guest can delete only their own file, and only within 15 minutes of uploading — trying to remove someone else's is rejected. Everything else is removed by the couple in their dashboard (Photos and videos → Gallery), with no time limit and without asking the guest. The couple owns the gallery, so report anything inappropriate to them — support does not delete photos from other people's galleries.

Seeing who uploaded a photo

Typical question: “Can I see who uploaded a photo?”

The couple sees the submitted name or nickname in the dashboard, and the nickname is also shown beside the item in the guest gallery. Anyone who does not want to display their full name should enter a safe public nickname instead.

One table instead of numbered tables

Typical question: “We have one table how do I remove table numbers?”

The table game always scores for a table: only photos and videos with a table number count (the guest types it or it comes from the QR code on the table), so at one shared table everyone plays for the same pool. If everyone should compete against everyone, use the separate Guest duel game: add your own challenges in Guest fun → Guest duel, then turn on the Guest duel switch in Event page → Page sections and save — only then do guests see the Duel tab. Points there go to each guest by the name or nickname they enter when uploading, with no table number. You can turn the table game off in the same place with the Photo scavenger hunt switch. Both games are in the Pro plan.

Photo scavenger hunt (missions) and table game

Typical question: “How do missions work?”

The photo scavenger hunt (missions) and the table game are Pro features. The couple creates photo tasks and may schedule when they appear. Guests complete a specific mission by attaching a photo or video, and points feed the table leaderboard. A mission count includes only media actually assigned to that mission. Next to the table game there is a separate Guest duel game (Guest fun → Guest duel) with its own challenges, where points go to each guest by name, independent of tables — so one event can run two independent hunts.

Song requests and DJ dashboard

Typical question: “How does the dj dashboard work?”

The DJ module is available with Pro. Guests submit song requests on the wedding page. The DJ creates or uses a DJ account and pastes the connection link supplied by the couple into the DJ dashboard. The couple can find a ready instruction in Music & DJ.

Wishes and time capsule

Typical question: “How does the time capsule work?”

With Pro, the couple can enable two separate sections: Wishes accepts text, audio or video, while the Time capsule stores a text message that opens on the date selected by the guest, no later than the first wedding anniversary. If a section is missing, check guest-page settings and the plan.

Menu, schedule and section visibility

Typical question: “How do I add the wedding menu?”

Edit the menu and day schedule in the event dashboard. Whether a tab appears to guests is controlled by Event page → Page sections and plan availability. A hidden or unavailable section does not appear in the guest’s bottom navigation. Individual attractions such as the meme roulette, missions, guest duels or the time capsule are hidden the same way: switch them off and the rest of the page keeps working.

Venue slideshow

Typical question: “How do I start the slideshow?”

Open the event’s Slideshow module on a computer connected to the TV or projector. It uses media available in the gallery. Test it on the actual screen and venue Wi‑Fi before the wedding.

Wedding video creator

Typical question: “How do I make a film from photos?”

The video creator is a Pro feature. The couple selects event media or uses automatic selection, prepares a project and starts rendering. The finished file can be played and downloaded from the video dashboard.

Guest page appearance

Typical question: “How do I change the page design?”

Open Event page → Appearance in the event dashboard. There you can set the theme, color, couple photo, crop and typography. Use the preview before sharing the page with guests.

Table game scoring

Typical question: “How are points counted in the table game?”

Every mission has a point value. A table's score is the sum of all missions completed at it — if three people at table 5 complete a 20-point mission, table 5 gets 60 points. Guests see the top of the leaderboard live on the wedding page. Important: a photo only counts toward the leaderboard when the system knows both the completed mission and the table number. The table game is part of the Pro plan.

Timed missions

Typical question: “Can a mission appear at a specific time?”

Each mission can be given an unlock time in HH:MM format — until then it is invisible to guests, and afterwards it appears on the list and stays available for the rest of the reception. The feature is called the day director. It works best when three to five missions are visible at any moment: aim for 8–15 missions in total, three of them without a time so guests have something to do from the first minute. Times can be edited from a phone during the reception if the schedule slips.

Occasions other than weddings

Typical question: “Do you support christenings?”

Yes. Besides weddings we have three separate packages: a christening, a First Holy Communion and an 18th birthday (current prices come from the live price list below). Each works the same way as a wedding: an invitation under its own link, a QR code for guests and one shared gallery of photos and videos, with no app and no guest accounts. The same packages also cover birthdays at any age (kids and milestone 30/40/50), a Confirmation and a graduation party. One account covers one occasion.

Quiz about the guest of honor

Typical question: “Is there a quiz about the guest of honor?”

Yes, for 18th birthdays, birthdays, graduation parties, First Communions and Confirmations (christenings and weddings don't have it). In the dashboard: Extras → Guest quiz. You add up to 10 single-choice questions (2–4 answers) or take ready-made suggestions; for a child the suggestions are safe (favorite color, cartoon, animal). Guests play on the guest page under their own name, with no account or app, in one attempt. The top scores show for guests and on a TV screen that refreshes by itself. Correcting the marked answer recalculates the leaderboard straight away. The quiz can also stay switched off.

QR favor tags

Typical question: “Can I make QR favor tags?”

Yes. In the occasion dashboard: Extras → Favor tags with QR code. Each tag has a name, a date, a short line and a QR code to the shared photo gallery, styled like your invitation theme. Choose round (5 cm, 15 per A4 sheet) or rectangular (4 × 7 cm, 12 per sheet), with cut lines and a ribbon-hole mark; set 1 to 300 tags, save the PDF from the print dialog and print at home. The code appears once the package is active, because that's when the guest link works. All occasions have favor tags; weddings have them outside Poland only, linked from Gallery & QR codes → card designs and printing.

Graduation papiro

Typical question: “What is the papiro?”

A papiro is the Italian graduate's poster with playful verses about them. Only graduation party (laurea) invitations have it. Guests add a rhyme or memory on the invitation (under their name, no account, up to 280 characters, no links), and in the dashboard under Extras → Graduation papiro with guests’ rhymes you approve or hide each entry. Print the poster in A3 or A2 in one of three templates (goliardic, parchment or your invitation style), with a photo or caricature, a laurel wreath and the graduate's title. Guest entries are deleted with the other materials when the storage period ends.

Group gift with a progress bar

Typical question: “Can guests chip in for one gift?”

Yes, on every occasion except weddings. In the invitation editor, in the Gifts section, switch on Group gift with a progress bar and set the goal, amount and currency. Guests see a X pledged of Y bar, tap I'll chip in, pledge an amount under their name and then see your bank details or PayPal.me, Satispay or Revolut links. The site does NOT accept or hold money: the bar shows pledges, and payments go directly to you. Guests only see the total, never a list of people or amounts. You see the pledges in your dashboard and can correct an amount, hide a pledge or mark it as received.

Audio guest book

Typical question: “Can guests record voice messages at the christening?”

Yes. On every occasion guests record short voice wishes (up to 90 seconds) straight from their phone on the guest page, with no app or login. They see a clear message before the microphone prompt, and if the browser can't record or the microphone is blocked, they can upload a file from a voice recorder. One phone can send up to 5 recordings. In the dashboard (Extras → Guest wishes) you play the recordings, download them one by one or all at once as a ZIP, and can hide a recording without deleting the file.

Photo in the invitation medallion

Typical question: “Can I add a photo of the child?”

The photo is optional. You upload it in the Event page module; it becomes the header background of the page guests see. A separate switch in the Invitation module shows the same photo in the round medallion on the invitation ribbon. Without a photo the medallion shows the first letter of the name and the layout still looks complete.

Can guests see only their own photos

Typical question: “Can guests see only their own photos?”

There is no separate mode where each guest sees only their own uploads. There is a switch for the whole guest gallery: Event page → Page sections → Gallery. When it is off, guests can still send photos and videos, but they do not see anyone's materials. Access is blocked on the server, so a previously saved link to the gallery page will not show the photos either. One caveat: a direct address of a single file that a guest opened before the gallery was switched off keeps working for at most about 2 hours, then it expires. You still see and download everything in the panel, nothing is deleted, and you can switch the gallery back on at any time with the same toggle (for example after the wedding, so everyone can see the whole collection).

Anniversary time capsule and the end of gallery access

Typical question: “What if the capsule opens in a year and the gallery expires?”

A guest can set the capsule to open at the latest on the first wedding anniversary, which is the same day the access period from the package ends (counted from the wedding date). When a capsule opens, you get an email. If someone picks the anniversary itself, you have two calm options: view and download the capsule that day, or extend the gallery earlier with the monthly hosting fee so there is no rush. The safest is to ask guests for a date at least a few days before the anniversary. Everything outside the capsule (photos, videos, wishes) is visible straight away and you can download it all in one archive at any time.

Privacy

Wedding planner and invitation editor

Wedding planner access

Typical question: “Which plan includes the planner?”

The wedding planner is available with Premium and Pro. After selecting an event, it appears as a separate dashboard module. Basic does not unlock the planner.

Where to start in the planner

Typical question: “Where do I start in the planner?”

A simple order is: 1) add guests, 2) record RSVPs and needs, 3) create tables and assign people, 4) plan budget and vendors, 5) prepare the timeline and logistics. You do not need to configure every module at once.

Importing a guest CSV

Typical question: “How do I import csv?”

In Planner → Guests & RSVP, open CSV import and first download or view the example. Match the column headers, save as UTF‑8 CSV, and review the import preview before confirming.

Table and room plan

Typical question: “How do I create a seating plan?”

Add guests first, then open Seating plan. Simple mode creates tables and assigns people. Detailed mode places tables and zones on a room plan; select an object before positioning it. If dragging fails, click the object once and use the arrow keys as an alternative.

Find your table

Typical question: “How does find my seat work?”

Guests check their table themselves: on the guest page they tap the round map-pin icon Find your table (bottom-right corner, above the tab bar), enter their first and last name and see the name of their table. The search ignores capital letters and accents and recognizes small typos. The icon appears only after the couple turns the option on: Wedding planner → Guests & RSVP, card Guest table lookup, switch Show guests the table lookup option (weddings on the Premium or Pro plan; the setting is visible to the event owner). Seat your guests in the Seating tab first — a guest without an assigned table is told the table could not be found and asked to check the spelling or ask the couple. The icon appears only on the real guest page (the QR-code link) of an active event — not in the dashboard preview. If it is missing on the real guest page, the option is off and the guest should ask the couple.

Wedding formalities guide

Typical question: “What do we need to arrange before the wedding?”

The planner has a step-by-step formalities guide in the Documents module. You pick the type of wedding — civil or concordat — and get everything that has to be arranged, in order, with when, where and what to bring. Every step can be ticked off, and once you add the track to the planner each step becomes a task with a deadline based on your wedding date. The planner is available from the Premium plan.

Civil wedding formalities

Typical question: “What is needed for a civil wedding?”

A civil wedding can take place at any registry office in Poland. Both of you submit the zapewnienie declaration there in person, with ID cards or passports. It is valid for six months, and the wedding may happen one month after submitting it; shortening that period requires the registrar's permission and costs 39 PLN in stamp duty. The stamp duty for the marriage certificate is 84 PLN, and a ceremony outside the office at your request costs an extra 1,000 PLN. You need two adult witnesses with ID. The first abridged copy of the certificate is free. The full list of steps with deadlines is in the planner, in the Documents module.

Concordat wedding formalities

Typical question: “What is needed for a church wedding?”

A concordat wedding is a church ceremony that also has civil effect. You handle formalities in the parish and the registry office in parallel. On the church side: booking the date, baptism and confirmation certificates, a marriage preparation course with family counselling, the pre-marriage protocol, banns announced on two consecutive Sundays in both partners' home parishes, confession and two witnesses. On the registry office side: a certificate confirming there are no obstacles to the marriage, valid for six months — without it the wedding is religious only. After the ceremony the clergyman has five days to send the certificate to the registry office, which then draws up the marriage certificate. Step by step, with deadlines, this is laid out in the planner's Documents module. The parish sets the offering — ask them directly.

Validity of the registry office certificate

Typical question: “How long is the registry office certificate valid?”

The registry office certificate for a concordat wedding is valid for six months from issue. This is the most common mistake made by couples who want the paperwork done as early as possible: a certificate obtained a year before the wedding expires and has to be reissued. A baptism certificate issued for marriage purposes usually has a similar limited validity of about six months. The planner guide sets the deadlines for these steps automatically against your wedding date, so you do not have to track it in your head.

Guests confirming attendance

Typical question: “How do guests confirm attendance?”

Applies to: weddings

Yes, on the Premium and Pro plans. In Planner → Guests you add households (families, couples), click "Create codes", and every household gets its own code such as ACDE-4567. You print the code on the invitation together with the page address. The guest opens the page, types the code and marks for each person whether they are coming — those attending add their meal choice, dietary needs, allergies and whether they need transport or accommodation. Answers land straight on your guest list and feed the seating plan. The same card has ready-made print materials: A5 cards, an A4 sheet and small envelope slips.

RSVP codes — practical questions

Typical question: “Will the RSVP code change?”

Codes are permanent — clicking "Create codes" again never changes the ones already handed out, so printed invitations keep working. Only households without a code get a new one. If a guest loses their code you can read it again in the "RSVP codes" card. A code opens exactly one household — nobody can use it to see the rest of your guest list or your notes. When typing from paper, capitals, spaces and the dash do not matter, and common mix-ups (zero for O, one for I) are corrected automatically.

Saving the room plan

Typical question: “Does the room plan save itself?”

The room plan saves itself. Every action — moving a table, rotating it, resizing, adding or deleting an object — is sent to the server as soon as the gesture ends; there is no Save button. If something fails (for example the connection drops), a message appears above the plan and the change is rolled back. When someone else on your team edits the plan at the same time, the view refreshes automatically so you never overwrite each other.

Undo in the room plan

Typical question: “How do I undo a change in the room plan?”

Above the room plan, next to the view name, there are Undo and Redo arrows. Undo works on whole gestures: nudging a table a few squares, rotating or resizing it is one entry, so one click restores the previous state. Deleting a table with guests asks for confirmation first and tells you how many people will return to the unseated list — and if you still do it by mistake, Undo brings the table back together with its guests.

Inviting people to the planner

Typical question: “Can I add another person to the planner?”

Yes. In the Team module you invite someone by email, choose a role and select which modules they can access and whether they can only view or also edit. Permissions are set per module, so you can give someone access to the guest list and the room plan but not the budget. The invited person receives a one-time invitation code.

What the wedding planner includes

Typical question: “What is in the planner?”

The planner is organized around four stages. Preparations: task list, budget with payments, vendors, and documents together with the formalities guide. Guests: guest list with RSVP and the seating plan. Wedding day: timeline, ceremony, logistics and day mode. After the wedding: keepsakes and final settlements. Plus a Team module where you grant access to family with per-module permissions. The planner is available from the Premium plan.

Filling in the invitation step by step

Typical question: “Where do I start with the invitation?”

Applies to: weddings

The Invitation module walks you through four numbered steps, and going in order is enough. Step 1 is the content: the invitation text and the venues - name, time, address and an optional map link. Step 2 is what you ask guests: whether they confirm attendance, meal options, a song, transport, a countdown - everything here is optional. Step 3 is the look: plain invitation or animated version, and for the animated one also the theme and the medallion photo. Step 4 turns the invitation on for guests and saves everything. Each step shows a status badge so you can see what is still missing. Nothing saves by itself - changes apply only after you click Save in step 4.

Plain invitation versus the animated version

Typical question: “What is the difference between the plain and animated invitation?”

Applies to: weddings

The content and the RSVP form are identical in both versions - only the presentation differs. The plain invitation opens straight away: date, venue, confirmation button. The animated one starts with a curtain and a wax seal bearing the initials, and after it opens the content scrolls through scenery. The key point: the invitation link and any printed QR codes stay THE SAME. Switching versions invalidates nothing you have already sent or printed - only what the guest sees at that address changes. The animated version needs a higher plan; for christenings, First Communions and eighteenth birthdays it is included.

The theme and photo options disappeared

Typical question: “I cannot find the invitation theme picker?”

The theme and the medallion photo work only in the ANIMATED version, so they appear once you pick it in step 3. With the plain invitation they would be settings that change nothing, so they stay hidden. To choose a design, first select the animated card - the theme thumbnails and the photo switch appear underneath. If the animated version is not in your plan the card is greyed out with a badge about a higher plan, and you can still prepare the settings in advance.

What has to be filled in the invitation

Typical question: “Which invitation fields are required?”

No field is mandatory - the invitation is built from what you actually fill in, and empty sections simply do not appear. For the link to show the invitation at all, ONE of these is enough: the invitation text, the ceremony venue name, the reception venue name, the countdown, or attendance confirmation. A venue section appears only once it has a name: an address without a name creates no section. In practice a short text plus one venue with a time is a good minimum - you can add the rest later, because the link does not change.

Ceremony and reception in the invitation

Typical question: “We have a single venue and two sections to fill?”

These are two independent blocks and neither is required. Fill in only the ones you really have: for a wedding usually the church or registry office first and the venue second, for a christening or a First Communion the church and the reception afterwards, for an eighteenth birthday most often a single address - then fill one block and leave the other empty. An empty block creates no section in the invitation, so guests see no empty heading and no trace of it. Each block has a name, a time, an address and an optional map link; the section appears only once there is a name.

Meal options in the invitation

Typical question: “How do I add meal choices to the invitation?”

Meal options live in step 2. You type in the choices - for example meat, vegetarian, gluten free - and the guest picks one from the list while confirming attendance. Each option can be removed with the cross next to it. Leaving the list EMPTY is perfectly valid - we then do not ask about meals at all and the guest never sees the question. Answers land on the guest list together with the attendance confirmation, so you see them in one place next to each person.

Countdown, song and transport

Typical question: “What does the invitation countdown count to?”

Three independent switches in step 2. The countdown counts down to the event date entered when the event was created - the number of days is computed on the server on every open, so it is always current and needs no refreshing. The song question collects guest suggestions and passes them to the DJ list. The transport question marks that a guest needs a ride, and you see it later on the guest list. All three are optional - when off, the guest simply never sees them.

Guest not found on the list

Typical question: “Guest gets we could not find you on the guest list?”

Applies to: weddings

Name-based confirmation looks the guest up on YOUR GUEST LIST. While the list is empty everyone gets the message that we could not find them - that is not a failure, just nothing to match against. You fill the list in the Guests and RSVP module; under the switch in step 2 of the invitation there is a link straight there, together with the number of people already added. Add everyone who should reply; matching ignores capitals, accents and double spaces. If two people share a name we ask for the invitation code instead of guessing.

Two ways of confirming attendance

Typical question: “I turned off name confirmation and have no code?”

Applies to: weddings

There are two ways and BOTH start from the guest list. First: the guest types their first and last name and we look them up - more convenient, but anyone who knows a name from your list can reply for that person. Second: an invitation code issued to a whole household - a family or a couple - in the Guests and RSVP module, once households exist. You print the code on the paper invitation. Turning off name confirmation does NOT create codes by itself: codes have to be issued on the guest list. Both ways can work at once, and the code works regardless of the name setting.

Editing the invitation after sending the link

Typical question: “Can I edit the invitation after sending it?”

You can edit the content as often as you like, and the link and QR codes stay the same - nothing has to be resent or reprinted. Guests see the new version the next time they open the page. Just remember to click Save in step 4: the editor does not save by itself, so closing the tab without saving keeps the old content. The same applies to switching between the animated and plain versions and to changing the theme.

Previewing the invitation before sending

Typical question: “How do I preview the invitation before sending?”

Step 3 has a preview link - it opens in a new tab and shows exactly the version you have selected: plain or animated. The preview works even when the invitation is not yet switched on for guests and when the event has not been paid for, so you can see the whole thing before deciding. Note that the preview shows the SAVED state - if you have just changed something, click Save in step 4 first, then refresh the preview tab.

RSVP inside the invitation

Typical question: “Can the guest RSVP inside the invitation?”

Yes - the RSVP is the last scene of the invitation and needs no app. In story themes it works like this: an envelope opens, a card slides out with the form, the guest enters their first and last name, confirms attendance and answers the extra questions you enabled (countdown, transport, meal choice). After sending, the card returns to the envelope and a thank-you stamp appears. Answers go straight to your guest list in the Planner. For the invitation to recognize a guest by name, the list must be filled in BEFORE you send it.

Technical notes

A second gallery on one account

Typical question: “I want a second gallery on this account?”

One account handles one wedding event. To start from scratch, delete the current event in the dashboard and create a new one (note: deleting also removes uploaded media, so download anything you want to keep first). If you need TWO weddings in parallel, create a second account on a different email address; a paid plan belongs to one event, so the second wedding needs its own plan.

Wedding film — when and how many files

Typical question: “Why can I not generate the film?”

The film is assembled from guest media, so it can only be generated from the day after the wedding date — before that the dashboard refuses. One film takes 5 to 36 photos and at most 6 video clips. If it says another version is already being created, wait for the previous render to finish — only one version is produced at a time. The video creator is a Pro plan feature.

Meme roulette — limits and draw errors

Typical question: “I cannot add more memes?”

One wedding takes at most 40 memes, and a single image can be up to 10 MB (GIFs up to 25 MB before compression; allowed formats are JPG, PNG, WebP and GIF). A too-many-draws message is throttling protection — drawing works again after a moment and there is nothing to report. A message that the roulette is not ready means the feature has not been enabled on our side yet — contact support then. The meme roulette is a Pro plan feature.

Language of the owner dashboard

Typical question: “Can I change the language of the dashboard?”

The dashboard, the planner and the guest page are available in six languages: Polish, English, German, Spanish, French and Italian. To change it, open Settings → Language & region in the event dashboard and click the language you want; the dashboard reloads in that language straight away. It is one setting for the whole account, so it also sets the language of the guest page, invitations and e-mails.

Page language and market

Typical question: “How do I change the language to english?”

The event owner chooses the guest-page language; it does not switch automatically for each guest’s phone. Prices and currency depend on the visitor’s detected market, so exact pricing must always be loaded live.

Empty table leaderboard

Typical question: “The table leaderboard is empty?”

A photo reaches the leaderboard only when the system knows both the completed mission and the table number. The table number comes from the QR card on that table, or from a field the guest fills in. The most common cause of an empty leaderboard is a single shared QR code by the entrance instead of numbered cards on each table — photos then land in the gallery normally, but the points have nowhere to go. The second common cause: the guest uses the general upload button instead of tapping a specific mission. Also check that the missions tab is enabled and the event is on the Pro plan.

Numbered QR table cards

Typical question: “How do I make QR table cards?”

You generate the cards in the dashboard (Gallery and QR codes → Card designs and printing) and download them as 300 DPI PNG files in the size you pick, from business card through A6 and A5 (default) to A4 and A3, portrait or landscape, one at a time or the whole set at once, one card per table. There are more than a dozen ready styles, including a variant with a large table number, plus full control over colors, wording and ornaments. Rule of thumb: one card per table plus two or three spares, printed on 250–350 gsm card with a matte finish (gloss reflects venue lighting and hurts scanning), with the code at least about one inch across. Always print a single test card and scan it with a phone before ordering the full run.

Poor signal at the venue

Typical question: “What if there is no signal at the venue?”

Uploading needs an internet connection. In venues with poor coverage it is worth asking the owner for the Wi-Fi password and printing it on the QR card next to the code — it is one of the most effective things you can do for the number of photos you get. If an upload fails, the guest sees it on their screen and can retry it with one tap or remove the failed file. A photo that was never confirmed reaches neither the gallery nor the table leaderboard.

Changing the wedding date

Typical question: “Can I change the wedding date?”

You change the wedding date in the event settings and nothing has to be recreated — the QR code, the page address and all settings stay the same. The retention period for your files and the planner task deadlines are counted from the wedding date, so after a change it is worth reviewing the task list. If you postpone the wedding before it has taken place, the access period of a paid gallery is recalculated automatically from the new date: moving it later extends access, and moving it earlier never shortens it. Once the wedding has taken place, changing the date no longer extends access — you can keep the gallery longer with a hosting extension in the panel.

One account, one occasion

Typical question: “Can I have two events on one account?”

One account covers one occasion, chosen when the account is created. The panel, the setup wizard and the e-mails follow it. If you later need a different occasion, create a second account with another e-mail address, starting from that occasion page. The first account keeps working with its own gallery.
